To support our growing team and maintain an exceptional office environment, we are looking for an Assistant / Office Manager who will play a key role in ensuring smooth daily operations while supporting our local leadership team.
💼 Your Role
As Executive Assistant / Office Manager, you will ensure the smooth day-to-day operations of our Barcelona office while supporting leadership and employees across Boats Group teams.
You will act as a trusted operational partner, interacting with stakeholders across the organization and helping create a productive, welcoming, and well-organized office environment.
This role combines executive support, office management, and culture-building responsibilities, making it central to the employee experience in our Barcelona office.

🚀 What You’ll Do
Executive & Administrative Support
Coordinate travel and logistics for the leadership team so everything runs smoothly.
Manage expenses and keep processes compliant and organized.
Schedule and coordinate key meetings across teams.
Prepare logistics and materials for leadership and company-wide meetings.
Office Management
Create a welcoming, well-organized office environment where teams can thrive.
Keep the office stocked, functional, and running seamlessly day to day.
Liaise with building management to ensure smooth operations.
Support onboarding logistics for new team members.
Events & Culture
Help organize internal events, team gatherings, and offsites.
Coordinate logistics for meetings and special moments.
Contribute to a positive, engaging workplace culture.
🎯 What You Should Have
Strong proficiency with Google Workspace, Zoom, and collaboration tools.
Ability to maintain strict confidentiality and handle sensitive information professionally.
Exceptional organizational skills and strong attention to detail.
Ability to manage multiple priorities simultaneously in a fast-paced environment.
Excellent written and verbal communication skills.
A proactive mindset with the ability to anticipate leadership and office needs.
A service-oriented attitude and collaborative spirit.
Experience managing expenses, vendors, or office operations is a plus.
